Privacy

This privacy notice is a draft while we finish our New Zealand review. We'll tell you before any change takes effect.

Your documents, records and files are stored in Australia (Sydney). Some services run elsewhere: your account details are held in Sydney, Australia; your sign-in details (name, email address and sign-in method) are held by Google in the United States; and payments are handled by Stripe in the United States.

Where your data is

Your documents, records and files are stored in Australia (Sydney). Some services run elsewhere: sign-in is provided by Google and payments by Stripe, both in the United States, and we send email from Australia and the United States.

Who is responsible for what

For your own account details (your sign-in, profile, organisation, team members and billing), we are the agency responsible for your personal information under the New Zealand Privacy Act 2020.

For what you put into our products, such as documents, data rooms and bookings, and for the people you send them to, we handle that information on your behalf and on your instructions. You are responsible for having the authority to add or send that information. If someone asks us about information you control, we pass the request to you. If we become aware of a privacy breach affecting information you control that is likely to cause serious harm, we'll tell you without undue delay.

Why we collect and use personal information

We use personal information to create and run your account, provide the products you use, send service emails and keep their delivery records, bill you and take payment, help you when you ask for support, keep our service secure, answer Enterprise enquiries, and meet our legal duties such as keeping tax records. We send marketing emails only if you've agreed to them, and every one has an unsubscribe link.

Seeing and correcting your personal information

Under the New Zealand Privacy Act 2020 you can ask to see the personal information we hold about you, and ask us to correct it, by writing to our privacy contact below. We'll confirm who you are first. We answer within 20 working days, and we don't charge for these requests. You can correct most of your account details yourself in Settings.

How long we keep personal information

When a workspace is deleted, or its last member closes their account, what is stored in it is kept for 30 days, then deleted, and is gone from our backups within a further 14 weeks. The same applies to your MyAndGo account details after you ask us to close your account. Billing and tax records are kept as long as the law requires.

  • Email delivery records: deleted after 90 days, and gone from our backups within a further 14 weeks.
  • Billing and tax records: as long as the law requires.
  • When your account closes, we keep a scrambled copy of your email address so that we never send you marketing email again, and a scrambled record that you've had a free trial.

Information handled outside New Zealand

Your documents, records and files, and your account records, are held in Australia (Sydney). Your sign-in details are held by Google, and payments are handled by Stripe, both in the United States. Our team works from Australia, and when you ask us for help, people on our team in Australia may access your workspace and its content. Other companies that handle your personal information for us outside New Zealand are required to protect it to a standard comparable to the New Zealand Privacy Act 2020.
